How admins set booking policies and capacity rules

Booking policies exist to solve one problem: give employees flexibility without losing control of the space. Most workplace platforms, including WorkInSync, split this into rules for desks, rooms, and parking, layered on top of an org-wide policy structure.

Desk booking rules

Admins typically work from interactive floor plans to create neighborhoods and allocate desks, either to specific teams or individual employees. Beyond initial allocation, the rules layer covers who’s permitted to book which desks and under what conditions, with utilization tracked across offices and teams to catch under- or over-subscribed areas early. 

Admins usually retain override ability too, booking on someone else’s behalf or cancelling any reservation directly, without raising an IT ticket. WorkInSync follows this same model, giving admins full allocation and override control from one console.

Room booking rules

Room policies tend to go a layer deeper than desk policies, since rooms carry cost and scarcity. Standard practice includes: booking restrictions on who can reserve a room and for how long, allocating certain rooms exclusively to a department or team, and, critically, automatically releasing a room if nobody checks in, so a no-show doesn’t block the space all day. 

Admins should also be able to cancel any booking directly, attach secondary workflows like catering or IT requests to a room reservation, and track utilization over time to see which rules are actually working.

Parking capacity rules

Parking policy has moved away from manual, seniority-based assignment toward availability-based allocation, the goal being that designation shouldn’t decide who gets a spot. 

Good systems also auto-match slot size to vehicle type (compact slots for small cars, larger bays for SUVs, EV slots positioned near chargers), support ANPR-based barrier automation for hands-free entry, and allow specific slots to be reserved for teams or departments where needed.

Enterprise policy structure

At enterprise scale, policies can’t be one config for the whole company, they need to flex by office, entity, and employee type. 

That typically means: office-wise configurable rules, support for multi-level org hierarchy, project codes or identifiers beyond the standard team/department structure, and role-based access control governing who can even change a policy.
