What a healthy vs unhealthy utilization rate looks like
A typical utilization rate for a well-managed office sits between 50-70%. Rates below 40% often indicate a significant ghost room problem, or a mismatch between the room types on offer and what employees actually need for hybrid work.
Fixes, in order of effort
- Auto-release for no-shows: Cancels the booking if nobody checks in within a set window, typically 10–15 minutes after the scheduled start. Check-in can happen via room display panel, mobile app, or through QR. If it doesn’t, the room immediately becomes available for others.
- Rebalance room mix using the data: Use utilization data to repurpose underused rooms into smaller collaboration spaces, focus pods, or tech-enabled areas instead of just cancelling more meetings.
- Collect enough data before acting: A common mistake is drawing conclusions from 2-3 weeks of data; collect at least 8-12 weeks before making portfolio or room-mix decisions, since seasonal patterns and project cycles skew short windows.
